5 Ways Event Organisers Are Embracing Artificial Intelligence

ChatGPT, Dall-E 2 and Bard.

12 months ago these words would have made a room say a collective “What? Please explain?”

But with the rise of Artificial Intelligence over recent times it’s becoming more part of today’s vocabulary.

As an event organiser we need to ask ourselves, how can we use these new emerging technologies to help us in our roles?

Can AI help plan your next event? Or speed up the process of admin (time sucking) tasks to make your life easier? The simple answer is YES.

To help you navigate this, we’ve listed 5 examples of how we can use AI to do just that!

1. Use chatbots to save time

Instead of having a dedicated staff member monitoring live discussion boards, AI-powered chatbots can efficiently handle these attendee questions and provide accurate recommendations based on their specific needs. This automation allows staff members to focus on more critical tasks for e.g organising live polls and promptly addressing any technical difficulties that may arise. By leveraging AI for live assistance, event organisers can enhance the attendee experiences whilst at the same time freeing up staff to do more. An alternative option to ChatGPT to check out is Jasper which also uses uses natural language processing to generate human-like responses.

2. Personalise the event experience

AI can analyse attendance data to offer custom event experiences. Event organisers can customise content, recommendations, and create targeted networking opportunities to individual interests by taking demographics, prior attendance history, and preferences into account. Attendee engagement is increased by personalisation, which also develops a sense of belonging, resulting in more memorable and meaningful experiences, ultimately, helping bump up that all important NPS score.

3. Break language barriers

AI-powered automated captions and speech translation technology can completely remove language barriers for events to increase audience accessibility and reach. Platforms such as Verbum take live speech and translate it into a language of the user’s choice (over 82 languages in fact!) in real time, making sure attendees from around the world can enjoy any event and any topic of discussion.

4. Make smarter, data-driven decisions

As event organisers, AI-powered data analytical tools take the guesswork out of the event planning process as well as help us make critical, often time sensitive decisions during the event. By easily analysing vast amounts of data sets such as attendee preferences, feedback, and engagement patterns, AI algorithms can identify trends, segment audiences, and provide actionable recommendations. This data-driven approach allows event organisers to make informed decisions (over gut-feel) and optimise future events based on real-time feedback. For e.g based on analysing ticket sales data, AI can help predict the best time for early bird sales and recommend pricing strategies to increase the P&L of an event.

5. New technology, creating new experiences

As AI combines with other immersive technologies such as virtual reality (VR) and augmented reality (AR), the event environment is being radically transformed. It’s crazy to think that some event organisers (and event marketers) aren’t yet considering these technologies as part of their wheelhouse. Those ahead of the curve know that they can use these technologies to create new interactive worlds and experiences to help attendees break through the fourth wall. From virtual product demos to interactive gamification, the convergence of AI and immersive technology opens up a world of possibilities for event organisers and attendees alike.

Ultimately, AI technology is here to stay. It will progress, become smarter, faster and more efficient overtime. As an event organiser I hope this article has shown you how to take advantage of AI to drive better results and attendee outcomes at your next event.
